We are committed to protecting your privacy and ensuring your personal information is managed responsibly. This Policy explains how we collect, use, disclose, and safeguard your information across our services and platforms. Better Bud operates in accordance with the Australian Privacy Principles (APPs) contained in the Privacy Act 1988 (Cth). These principles regulate how we manage personal information throughout its lifecycle — from collection and storage, to use, disclosure, and secure disposal. By using our services, you agree to the terms of this Policy.

This Policy applies to all individuals who use Better Bud’s services, browse or interact with our platforms, or otherwise provide information to us (“you”, “your”). Key definitions: Health Information means information about your health, healthcare services provided to you, or information collected while delivering healthcare, as defined under the Privacy Act. Medicine means prescribed medicine issued by an authorised prescriber. Personal Information means information or opinion about an identifiable individual, including Health Information, as defined under the Privacy Act. Platform means any websites, booking systems, telehealth systems, or digital services we operate. Policy means this Privacy Policy, as updated from time to time. Services means telehealth consultations, prescription services, patient support, and supply of products through registered partner pharmacies. Staff means employees, contractors, healthcare professionals, and authorised prescribers engaged by us. Terms means terms of service, this Policy, and any other agreements you accept when using our services

1. Information We Collect

We collect information directly from you when you use our booking or telehealth platforms, complete forms, attend telehealth consultations, contact us via phone/email/chat, participate in surveys or market research, or provide professional details as a healthcare provider (e.g., AHPRA registration). We may record telehealth consultations, support calls, or research sessions for quality and compliance. Telehealth recordings are stored securely for 14 days; transcripts or summaries may be retained longer to meet legal requirements. We may also collect information from third parties such as prescriptions, referrals, state monitoring programs (e.g., SafeScript), and partner pharmacies. Automatically collected information includes device/browser type, IP address, pages viewed, and cookies (see Section 4). We may also obtain information from public databases, AHPRA registers, My Health Record (with your consent), and social media platforms relevant to service delivery.

2. How We Use Your Information

We use personal information to deliver telehealth consultations, supply prescribed products via partner pharmacies, provide patient support, issue invoices, process payments, and fulfil orders. We may connect you with trusted third parties such as pharmacies, delivery providers, technology partners, and medicine suppliers. We verify eligibility where required (e.g., AHPRA status, Medicare/IHI details). We use information for quality assurance, compliance monitoring, audits, risk management, staff training, and product/service development. With your consent, we may use de-identified data in clinical research registries. Data once de-identified cannot be withdrawn, but you may withdraw consent for future identifiable use at any time. We may use your information for marketing and updates (you may opt out at any time). We may invite you to participate in user research (voluntary, anonymised where possible). Aggregated or de-identified data may be used for business insights without identifying you.

3. How We Disclose Your Information

We may share your information internally within Better Bud, or with trusted providers such as secure payment processors, booking/telehealth platforms, pharmacies, distribution partners, IT/cloud providers, and analytics/communications platforms. We may disclose information as required by law or court order, or to protect safety. We may share de-identified data with research institutes, regulators, or partners. Some service providers may store/process data overseas; we take reasonable steps to ensure compliance with the APPs. We may use AI tools to improve services, but AI does not replace professional medical judgment.

4. Cookies and Tracking –

We use cookies and similar tools for functionality, performance monitoring, remembering preferences, and delivering relevant advertising. You can manage cookies in your browser, though blocking them may limit functionality. Third-party cookies may be used for analytics and advertising, subject to their own privacy policies.

5. How We Hold and Secure Information

Personal information is stored in secure cloud systems or managed data centres, with sensitive health data preferably stored in Australia. Health records are retained for at least 7 years to comply with the law. We use encryption, strict access controls, secure transfers, regular audits, and third-party security reviews to safeguard your information.

We may update this Policy from time to time. Updated versions will be published on our platforms

7. Your Privacy Rights

By using our services, you consent to the collection, use, and disclosure of your personal information as described. You may request access to or correction of your personal information; requests will be handled within 30 days, subject to legal exceptions. You may withdraw consent at any time, though this may affect our ability to provide services. If you believe your privacy has been breached, contact our Privacy Officer first. If unresolved, you may complain to the Office of the Australian Information Commissioner (OAIC).
